Start with a small, harmless sample. If that works but your original image does not, compare the two before reinstalling. Keep passwords, customer records, private URLs and personal messages out of every test image you might send to support.

Confirm which OCR function actually fails
Grab Text extracts characters for use elsewhere. Edit Text changes recognized wording inside an image and may not preserve its original font or layout. Smart Redact detects potentially sensitive information. Always inspect what it misses before sharing a capture.
Use the same sample for the functions you actually need. Note whether the command opens, processing starts and a result appears. A successful Grab Text result shows that operation worked on that sample; it does not prove Edit Text or Smart Redact is fault-free.
If capture itself fails, open a harmless existing PNG in Editor and try Grab Text. This separates two questions: can Snagit capture this screen, and can it recognize this image? A screen-permission or hotkey problem needs its own investigation.
Record what happens before changing settings
Write down the exact error and when it appears. Did processing never start, did Editor close, or did text appear but fail to paste? Timing helps choose the next test, but does not establish the cause by itself.
TechSmith documents a longer first OCR operation in a session in its Grab Text best practices. Compare two small selections. There is no universal wait time here: if Editor remains unresponsive, preserve your work where possible and report the hang instead of repeatedly starting more operations.
Windows: check the May 2026 OCR licence update
The OCR licence notice lists these minimum Windows builds: 2026.1.1, 2025.4.2 and 2024.3.7. Check Help > About Snagit, then update within the appropriate release. These are minimum fixes, not the newest available builds.
On Windows, use Help > Check for Updates > Install Updates. If updates are managed, ask IT. The notice distinguishes personal EXE installers from enterprise MSI packages; do not replace a managed installation yourself.
Snagit 2023 for Windows and older Snagit Windows releases do not receive this licence update. Reinstalling the same old build cannot add the refreshed file. The version diagram below applies to this Windows issue, not to Mac releases.
Run a clean OCR control test
- Save the original image and close private documents before testing.
- Make a harmless image with two short lines of large black text on white.
- Save open work, quit Snagit Capture and Editor, then reopen the installed app.
- Open the sample in Editor and use Selection around the text without cutting off character edges.
- Right-click the selection on Windows or Control-click on Mac, choose Grab Text, then use Copy All in the results.
- Paste into a plain-text document and compare every character with the sample.
- If it succeeds, repeat on a small region of the original image and record the difference.
If both inputs fail, record both results; do not conclude that image quality has been ruled out entirely. If only the original fails, compare its size, script and layout. Change one thing and repeat the same selection so you can tell whether it helped.
Fix the Cannot recognize text error
For Windows, TechSmith's Cannot recognize text procedure says to quit Capture and Editor, install a supported current build, verify it under Help > About Snagit and retry. Save open work first. Use an installer compatible with your operating system and licence.
A 2024 user report describes the same error on simple text despite restarting, with updates controlled by workplace IT. It does not establish a fix. If your update is managed, send IT your exact version and sample result rather than working around deployment controls.
Improve inaccurate or incomplete recognition
Use Selection inside any surrounding box and leave character edges intact. A smaller region avoids unrelated labels. Repeat on the same words so the before-and-after result is comparable.
Increase contrast and straighten angled text. If you control the source, make small text readable before capturing it. Keep an unchanged original for comparison.
Handwriting, symbol fonts, accents, shadows and outlines may cause errors. These are potential difficulties, not a complete list of unsupported characters for every current build.
For a concrete check, compare a label and its value together: Invoice A-105 and 120.50. Verify the hyphen and decimal point, not just the surrounding words. This is a suggested sample, not an accuracy result we measured. Prefer a fresh legible capture to enlarging an already unreadable copy.
Slow OCR on tall captures: reduce the selection
Process one useful block rather than an entire scrolling image. Check the first and last line before moving to the next block. Otherwise you can overlook a missing section or paste the same line twice.
The Mac release notes record better tall-capture Grab Text results and colour accuracy in 2026.2.0, released May 28. This is not a promise of a particular processing speed or perfect recognition.
Windows: test Optimized OCR only when permitted
Windows Snagit 2026 offers Optimized OCR under Edit > Editor Preferences > Experiments. With organizational approval, accept the experiment terms, turn it on and compare the same harmless sample. Missing or greyed-out experiments can reflect administrative restrictions.
The Windows release history reports improved Smart Redact accuracy with Optimized OCR in 2026.3.0. Review the final redactions yourself. Do not treat this Windows option as a required Mac setting or disable management controls to expose it.
Language support depends on the platform and build
The older best-practices page mentions Japanese but also excludes Japanese characters. That is not a usable current language guarantee. Test the actual script and punctuation you need; do not infer OCR support from the language of Snagit's menus.
TechSmith's current technology table lists ABBYY and Windows Media OCR for Windows, and Apple OCR for Mac. Text recognition is listed as on-device. That does not mean every sharing or analytics feature is local, or that both platforms recognize the same scripts.
Mac: check compatibility before following old fixes
The historical Grab Text Not Supported notice concerns Snagit 2021.3.0 on macOS 10.14 or earlier. It states a macOS 10.15 requirement for that feature. Its older-build workaround is not current Snagit 2026 advice.
Current Snagit requirements list macOS 15, 26 or 27. Record your exact Mac app and OS versions, then use the compatible update channel for that installation. Do not compare a Mac build against the Windows licence thresholds above or install an obsolete version without reviewing compatibility and support.
Text appears, but copying or formatting fails
Windows 2026.2.2, released May 28, fixed a crash when clicking Copy All in Grab Text Results. Windows 2026.3.0, released July 16, fixed an obscured Plain Text control in Portuguese and Spanish installations. Match the symptom and build before treating this as failed recognition.
If the results window looks correct, paste into a second plain-text destination. Compare the actual characters and line breaks. That helps distinguish a copying or destination-formatting problem from text that was already wrong in the results window.
For tables, check each label against its value and verify row order. For commands, dates, amounts and account details, compare every significant character before using the text. A readable paragraph can still contain one consequential error. Use the source application's table export when you need structured data.

Escalate with a private-data-safe test case
Contact support if a compatible, updated installation still fails on the small sample. Include your Snagit version, OS, installation source, exact message and which command fails. On Windows, also note whether Optimized OCR is available and whether updates are managed.
Attach only harmless reproduction data: the sample image, expected two lines and actual text result. State whether processing fails, stalls or returns incorrect characters. Review any diagnostic file for personal information before sharing it through an approved support channel.
